Privacy Policy

This privacy policy explains what happens to your data when you use Add Letterhead Online (add-letterhead-online.fabreasy.com), a free tool that adds a letterhead and follow-up paper to PDF documents. It is operated by Fabreasy.

What happens to the PDFs you upload?

When you use the tool, you upload three files: your letterhead, your follow-up paper, and the document to process. These files are:

  • stored temporarily on our server to carry out the processing you requested;
  • automatically and permanently deleted after 2 hours, whether or not you downloaded the result;
  • never opened, reviewed or read by a person, and never shared with, sold to, or accessed by any third party;
  • not linked to an account, since no account is required to use the tool.

If your documents are confidential, you can also process them locally on your own PC using the Fabreasy PDF Creator desktop app, so nothing ever leaves your computer.

Do we use cookies or accounts for the tool itself?

No. The free tool does not require registration, does not use login sessions, and does not set tracking cookies to function — each upload is identified by a random, one-time technical code that is not linked to you personally. Our caching plugin may set a small technical cookie needed to serve pages faster; this is not used for tracking.

What if I buy a credit code?

Buying credits (to process PDFs without the Fabreasy watermark) is optional. If you do:

  • Payment is handled entirely by Dodo Payments, our payment provider and merchant of record. Dodo Payments collects your name, email address, billing address and payment details directly; we never see or store your payment details (card numbers, bank details, etc.). Their own privacy policy applies to that part of the process — see dodopayments.com.
  • After a successful payment, Dodo Payments shares your email address and the purchased amount with us so we can generate your personal credit code and email it to you.
  • We store thWe store the credit code, its remaining balance, your email address, and a reference to the payment, in order to let the code work and provide support. Your email address is kept for as long as the code is valid, plus 12 months afterwards to handle support requests — after that, we automatically replace it with an irreversible technical code (hash), so it can no longer identify you. The code itself, the amount, the date and the payment reference are kept longer, for our own bookkeeping records. Note that Dodo Payments, as merchant of record, is separately responsible for the tax and accounting records of the sale itself — see their privacy policy for how they handle your data.
  • The code email is sent from our own mail server for this one transactional purpose only. We do not send marketing emails, and we do not add you to a mailing list.

Do we use analytics?

Yes, to understand how the tool is used and improve it:

  • We use a self-hosted, privacy-focused analytics tool (Independent Analytics) that records aggregated statistics such as pages viewed, approximate location based on IP address, referring website, and device type. This data stays on our own server and is not shared with, or sold to, any third party.
  • Our site currently also loads Google Analytics (Google tag / gtag.js), which uses cookies and shares data with Google in accordance with Google’s privacy policy. You can opt out using the Google Analytics opt-out browser add-on.

Do we share your data with anyone else?

We do not sell, rent or trade your personal information. We only share data with the service providers strictly needed to run this website: our hosting provider (Hetzner, EU-based servers), our payment provider (Dodo Payments), and, if enabled, Google Analytics as described above.

Your rights

Under the GDPR, you have the right to ask us what personal data we hold about you, to correct it, to have it deleted (where we are not legally required to keep it, e.g. for bookkeeping), and to object to how it is used. To exercise any of these rights, contact us at the email address below. You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Children

This tool is intended for business and professional use. We do not knowingly collect personal information from children under 16.

Changes to this policy

If we change this policy, the updated version will be posted on this page with a new “last updated” date.
